COMMUNITY HALL FREQUENTLY ASKED QUESTIONS
How do I reserve the Community Hall?
Reservations can be made in person at the Parks and Recreation office in the Quinlan Community Center located at 10185 North Stelling Road, Cupertino. The Parks and Recreation Office is open Monday through Thursday, 8:00 a.m. to 10:00 p.m., Friday, 8:00 a.m. to 5:00 p.m., and Saturday, 8:30 a.m. to 4:30 p.m. We cannot take reservations by telephone, however we would be happy to check the availability of the Hall anytime during office hours at (408) 777-3120.
How far in advance can the Community Hall be booked?
Reservations are accepted up to one year in advance. However, for last minute events, our staff needs no less than ten days notice before your event. We recommend booking early, as times are limited.
How will the Community Hall meet my presentation needs?
Equipment available includes a 2-screen video projection system that supports laptop PowerPoint presentations, wireless microphones, DVD and VHS playback capability, document camera system for slides, transparancies, and paper documents, and a state-of-the-art sound system.
How many people can attend an event at the Community Hall?
If you would like your event set up in lecture/theatre style seating, the Community Hall will hold up to 170 people. If you would like to hold a waiter-served banquet or buffet, the Community Hall will hold up to 152 people.
Can I decorate the Community Hall?
Yes, however decorations are limited to table and freestanding decorations only. To preserve the beauty of the Community Hall, masking tape, cellophane adhesive tape, nails, staples, thumbtacks, push pins, screws, etc are not allowed. Decorations and delivery of equipment are to be done only during your reservation time. We recommend booking extra time for any special preparations or cleanup. Decorations and other special preparations must be out of the building by the end of your reservation time.
After I pay the security deposit at the time of reservation, when are the rest of the fees due?
Rental fees must be paid in full 30 calendar days prior to your event.
What if I need to cancel my reservation?
You may cancel your reservation or make changes to your reservation by submitting a written request to the Parks and Recreation Office. Cancellation of reservation must be made at least 30 calendar days prior to your reservation date in order for your rental fees to be refunded. All cancellations and/or changes must be submitted in writing by the person who originally made the reservation. The City reserves the right to cancel any use of the facility upon two weeks advance notice.
